Even with Summer Break, many districts will be continuing evaluations throughout the summer. Here are some important things to remember if you are part of one of those evaluation teams.
On July 15, the system does its year rollover. When that happens, paperwork in the 24-25 school year will be locked and most forms will not be editable.
Districts can move the forms into the 25-26 school year in order to make them editable.
Uploaded forms will need to be downloaded before moving the form and then re-attached after that form has been moved.
Not all users have the "Move" permission, so be sure to identify who will be performing this process in the district.
This is not a difficult process, it is just good to keep in mind while heading into those summer evals.
In order to support students with transitions due to the new year, including building and staff changes, many case managers will share information about those students prior to the summer. There are a few different ways to share this data. There are pros and cons to both ways, so be sure to work with your district administration to see which way works best.
Add the upcoming teacher to an existing class list as a secondary staff member.
Create a new class list within the new school year and use the permission "Staff access to next year caseload".
Share PDFs of IEPs with the new teacher.
Use an IEP at a glance to share portions of the IEPs.
Be sure to explore the benefits and downfalls of each method with those who are included in the process.
Annual User Conference
Get it on your calendar!
If you don't know, IEP4Schools has a conference every summer. This conference is free, virtual, and available to all. The day is broken out into sessions, which allows individuals to attend only what interests them. This year's topics will include new WISE features, form updates, report configurations, Special Education Indicators, progress reports, and much more.
Mark your calendars for August 5 from 9 a.m.- 2 p.m. Once you have registered, you will receive any updates available, including the agenda and links for each session prior to that date. Looking forward to seeing you!
As we finish out the current school year, contracts are being signed for the 2025-2026 school year. This is the perfect time to reflect on the free services and supports ALL districts get from IEP4Schools, as well as making sure you are taking advantage of any additional supports your district may benefit from.
If you review the services listed and do not know how to access the free options, please reach out and we will let you know how you can.
IEP4Schools needs the school year end date in order to automatically end all of your district's SEPA records each year. There is a new field available in the WISE Setting section of the system to enter that date.
If you are the designated WISE person for your district, you should follow this Help Center article to complete this task by July 15.
Submitting TIE Records
SEORA or SSA
TIE records were not collected during the May snapshot. However, DPI requests that all districts continue to submit TIE records for the 23-24 and 24-25 school years. All students who have an initial evaluation must have either a SEORA or SSA enrollment record in your SIS. Reach out to your SIS for assistance. For more information, go to Help Center - WISEdata and TIE Records - Timely Special Ed Initial Evaluation (Indicator 11).
This year the Export of Student Data has really taken center stage for many of our trainings. This report is able to take the place of many of the older reports that still exist in V3. It can also help you when cleaning up data during the summer.
In order to assist our users in utilizing this report, we have created a document of report configurations that best support different tasks system admin users may need to complete. If you follow the document closely, you will also be able to save those configurations right in the system for future use.
Our May spotlight is on all of our users. Whether you are a special education teacher or therapist that works directly with students to meet their goals, or you are a building/district administrator, program support, or administrative assistant who is helping those that help students, you are all making an impact on the lives of those you see everyday in your district.
We find so much joy in helping those that are on the front line for students every single day. You not only make a difference in the lives of your students, but you make a difference to the IEP4Schools team because you give us the gift of helping those that help students.
Please be sure to take a moment in all the chaos of the end of the school year to be in the moment and to see the impact you are having. Your students are grateful for you, and so are we!
